Job Summary:
The Event and Experience Coordinator will lead the charge to create best-in-class experiences that build brand loyalty and connect our supporter community to the impact they are making in partnership with Rescue:Freedom. From project management to sponsor procurement to system development and beyond, this role will plan and execute events that inspire further giving. Responsibilities You will:
Lead the project management and execution of all Rescue:Freedom hosted donor-related events ranging from small-scale, audience specific events to large-scale galas (500+ attendees).
Oversee events from start to completion. Project manage all details, logistics, and event execution.
Develop new methods to drive event growth at Rescue:Freedom to bring our current and prospective donors’ experience to new heights. You will be responsible for leading the sustainable expansion of our event portfolio in partnership with the Director of Community Experience.
Lead event-related goal setting, establish event KPIs and analyze results for event growth and donor engagement.
Seek innovative ways to acquire new donors and retain current donors through unique event-related tactics in collaboration with Development.
Manage all event-related technology such as Classy Events, Classy Live, Virtuous Events and future auction or event-related softwares. Seek guidance on system enhancements and troubleshooting system issues.
Creatively build and audit event-related donor journeys, systems, automations and processes to track and connect with event invitees and attendees in collaboration with the CRM Manager.
Work alongside the Director of Community Experience and Community Mobilization Manager to develop event audience development plans, assist procurement and communication with sponsors and ambassadors and follow-up post-event.
Analyze historical event data and drive the cross-collaboration and execution of opportunities to connect with new and repeat donors in meaningful ways.
Assist the Development team for supporter-led events by creating the structure and accompanying systems and processes for event management, event material distribution and merchandise resourcing.
Lead the research, acquisition and vendor relationship management for prospective venues and partnerships, building brand loyalty and negotiating nonprofit rates.
Collaborate with the Marketing and Development team to develop informed pre, during and post event-related communication and engagement strategies.
Lead the system creation, distribution, execution,fulfillment, inventory tracking and reporting of merchandise for the organization, collaborating with Marketing and Development to effectively thank our current and prospect donors.
Manage the expectations, deliverables and execution of the internal team, external volunteers and external vendors.
Manage, maintain and hold the team accountable to the event budget and make informed decisions based on priorities of the event.
Lead weekly, monthly, quarterly and annual reporting of event performance in collaboration with key stakeholders in the department.
Research partnership opportunities, new tools and integrations to continually innovate our efforts in collaboration with the CRM Manager.
Support all donor stewardship needs such as but not limited to personal card handwriting for donors, individual donor emails and phone calls, etc.

Education & Experience:
Proven event planning and execution experience.
Experience managing a budget of $20,000+.
Experience managing large-scale events of 500+ attendees. (Preferred)
Proven experience in customer service. Experience managing a team of volunteers. (Preferred)
Experience with event-related and CRM software tools such as Greater Giving, Classy, etc. (Preferred)
